User Data Deletion Instructions

1. Introduction

StrataSystem (StrataDBMS) respects your privacy and is committed to protecting personal information processed through our property management platform, including information exchanged through WhatsApp Business integrations.

You may request access to, correction of, or deletion of your personal information in accordance with applicable data protection laws, including Malaysia's Personal Data Protection Act 2010 (PDPA), where applicable.

2. Information You May Request to Delete

Depending on how you use StrataSystem, personal information may include:

  • Name, telephone number, email address and contact details.

  • WhatsApp messages, conversation history and associated attachments.

  • Resident, owner, tenant or property management contact records.

  • Account profile information and communication preferences.

  • Other personal information collected through the StrataSystem platform.

3. How to Request Data Deletion

To request deletion of your personal information:

  1. Contact the property management company or organization responsible for your StrataSystem account. You may also contact the StrataSystem platform administrator through the contact information published on our official website.

  2. Use the subject line Personal Data Deletion Request.

  3. Provide your name, the organization or property associated with your account, and a contact method so we can identify the relevant records.

  4. Specify whether you want to delete your WhatsApp conversation history, contact information, account information, or other personal data.

Please do not send passwords, identity documents, or sensitive financial information in your initial request.

We may ask for additional information through a secure channel to verify your identity and prevent unauthorized deletion.

4. How Requests Are Processed

Upon receiving a deletion request, the responsible organization or StrataSystem administrator will:

  1. Acknowledge and review the request.

  2. Verify the requester's identity and authority.

  3. Identify the relevant personal information and determine which organization controls it.

  4. Delete, anonymize or restrict the relevant information, as appropriate and legally permitted.

  5. Inform the requester of the outcome or explain why certain records must be retained.

We aim to respond to requests within 30 calendar days, subject to applicable legal requirements, verification and the complexity of the request.

5. Information That May Be Retained

Certain information may need to be retained for legitimate purposes or legal obligations, including:

  • Accounting, payment, invoicing and financial records.

  • Property management and statutory records.

  • Records necessary for resolving disputes or legal claims.

  • Security, fraud prevention and audit records.

  • Backup copies retained for a limited period under applicable retention procedures.

Where deletion is not possible, we will explain the reason when appropriate and apply relevant safeguards.

6. WhatsApp and Meta Data

If you communicate with a property management organization through WhatsApp, your messages may be processed through the WhatsApp Business Platform operated by Meta.

Deleting information from StrataSystem does not necessarily delete messages stored on your personal device, another participant's device, or Meta's systems.

7. Property Management Organizations

StrataSystem may be used by independent property management companies, joint management bodies (JMBs), management corporations (MCs), and other organizations.

These organizations may independently determine how resident and property management data is collected, used, retained and deleted.

Where a request concerns information controlled by one of these organizations, StrataSystem may refer the request to the relevant organization for processing.
